Our team

Each age group has a range of trained volunteers who work together to deliver the activities throughout the season. Our volunteers complete the appropriate RFU training courses for their roles and all volunteers are DBS checked in line with RFU guidance.

Within each age group we have:

  • Head coach - responsible for the delivery of all training and fixtures throughout the season
  • Coaches - work with the head coach throughout the season
  • Team manager - responsible for off field activities, including communications with parents and visiting clubs. They are your main point of contact for any queries or information needs.
  • First aiders - each age group has first aiders pitch side, who have completed the appropriate RFU first aid courses.  If your child has a medical condition which we should know about, please email youth.membership@hwrufc.com and they will update the records and advise the coaching team. This information will be treated in confidence.

Communicating with you

We use the Spond app to enable our communications with you. Your team manager and Head Coach will use Spond to share details of training sessions, fixtures, social events and other relevant information. 

To join Spond, simply download the app and scan the barcode of the appropriate team you wish to join. The barcodes are located in the clubhouse on posters on the wall or your team manager will be able to help with this.

If we have to cancel a fixture or training session we will communicate this via the Spond App.  In most circumstances we aim to cancel sessions by Saturday morning if weather related, but always check your communications before travelling on a Sunday morning in case of last minute changes.


Training sessions, fixtures and festivals

We train on a Sunday morning at HWRUFC, starting at 10:00. The length of training sessions varies by age group and your team managers and head coaches will be able to share more information with you.

 

Throughout the season our u7s and up have the opportunity to participate in fixtures and festivals. Details of these are shared via the Spond app at the start of the season and will be followed up with you as the events approach.

 

Fixtures present an opportunity to train and play with another club. These enable the players to experience new activities and to train with a wider group of players and coaches. Fixtures will either be at home or away, and the entire age group will attend the fixture together. We align age groups so all mini teams have the same fixture at the same time, though sometimes we split location with some age groups at home and some away. We typically have 6/7 fixtures across the season.

 

We also enter c4 festivals throughout the year. These “tournaments” give our players the chance to play matches against a range of teams and to earn a much loved medal. These half day events are a great way of bringing everything they have learned together and are a great way to develop the team connections. They are typically in the spring months so are a nice environment with food and activities available for parents/carers and wider families to attend.

 

Across fixtures and festivals the focus is on providing opportunities and a great experience for all players. We ensure all players get equal game time, so that the experience and opportunity is consistent for all. If you ever have any questions or concerns about this please do speak to the head coach.


Membership and membership fees

We offer all new players a four week trial to give rugby a go and to decide if HWRUFC is the club for you.

 

After this trial period we will ask you to register the player as a member of the club and to pay the appropriate membership fee. This membership fee provides access to all training sessions and fixtures throughout the season. We typically ask for a small contribution to the entry fee for festivals, which has been £5 per player per festival this season.

 

The mini membership fee for the 2025/26 season is £170. We offer a sibling discount of £50 membership for additional players in a family.

 

Your team manager will share details of how to register as a member with you.

 

If you introduce a new player to the club you will receive a £20.00 cash payment when they pay their fees.

 

Parent/carer membership is free


What’s on offer and how the club works

The Clubhouse is open every Sunday morning (September – April) from 9.00am

 

The kitchen is also open from 9.30am. Free hot chocolate is available for all mini players after training. Hot food and drinks are available and free player meals are available from 12.00 on fixture days.

 

The bar is open from 11.00 serving snacks and cold drinks, with alcohol available from 12 noon.

 

We have a boot swap box in the clubhouse where we encourage you to swap a pair of boots for a £5.00 donation.  Pre-loved kit is also available. 

 

No rugby boots are allowed in the clubhouse.


Girls rugby

New players are welcome come along to any training session to find out more or register your interest please contact youth.vicechair@hwrufc.com free taster sessions are available so you get to try out rugby without having to make any commitments. All the girls U12-U18 train on Wednesday evenings from 18.30 – 19.45 and on Sundays from 10.30am. We are always on the training pitch of a Wednesday evening at Kingsmead. Fixtures are normally played on Sunday afternoons.


Our ask of you

We try to make being a member of HWRUFC an easy and enjoyable experience. There are a small number of ask’s that we make of you. Please let team managers and head coaches know if you would like to discuss any of these.

 

  • Please can a responsible adult remain at the club (including away fixtures and festivals) during sessions. We need your support during drinks breaks, non-playing times and toilet breaks. If you have children in multiple age groups please let the team manager and coaches know so that we can find you when required if you are at another pitch. 
  • Please can you regularly check Spond and respond to any invites for upcoming sessions. We appreciate plans may change, but this helps us to plan sessions, knowing the number of players attending
  • Throughout the season each age group has a small number assigned weeks where they are on “club house duty”. This involves the parents/carers of that age group supporting a small number of roles at the club, typically for 30 minutes only. This clubhouse duty network enables all of the activities of the club on training day to run effectively. Please can we ask you to volunteer once or twice throughout the season where possible. Your team manager will share details when it is your age group's turn.
